JOB BRIEF

We are looking for an Executive Assistant to the Chief Executive
Officer (CEO) and who will also provide some support to the Director
of Philanthropy. A brilliant multi-tasker, to provide high-level,
confidential administrative support to the office of the CEO. Duties
may be clerical, administrative, and project-based, meeting and event
management, and include scheduling travel, arranging meetings,
handling information requests, preparing reports and correspondence
and liaising with board members and other stakeholders.

This position is often privy to confidential information and as such,
requires diplomacy and discretion. You will work on a one-to-one basis
on a variety of tasks related to the CEO?s working life and
communication.

You will be at the heart of the organisation. Working alongside our
CEO, you will prove invaluable in helping support them with the
day-to-day running of the foundation with administrative and
secretarial work.

KEY RESPONSIBILITIES

* Manage the CEO's calendar and schedule meetings and appointments
* Act as the point of contact between the CEO and internal/external
clients
* Screen and direct phone calls and distribute correspondence
* Generate and produce reports, presentations, and briefs.
* Prepare documents for CEO's signature.
* Take minutes during meetings.
* Devise and maintain filing system.
* Manage information flow in a timely manner
* Organize events, presentations, and event follow up for the
company.
* Devise and maintain filing system.
* Liaise with Communications on behalf of the CEO.
* Schedule meetings for the Director of Philanthropy, assist with
events and provide report formatting and proofing.
* Collection of signatures for and filing of fund agreements with
Finance

KEY REQUIREMENTS

* At least five years? experience as a PA, Executive Assistant or
similar with knowledge of diary and travel management
* High level of IT competency, Excellent MS office skills
* Discretion and confidentiality
* Excellent verbal and written communication skills
* Ability to multitask and prioritise workload.
* Knowledge of the charity sector would be beneficial
* Excellent written and spoken English
* Eligibility to work in Ireland
* PA diploma or certification would be considered an advantage
